Volt Hub Electrical Services Pty Ltd | ABN 46 697 742 500

1. About This Policy

Volt Hub Electrical Services Pty Ltd (Volt Hub, we, us or our) respects your privacy and is committed to handling personal information responsibly. This Privacy Policy explains the kinds of personal information we collect and hold, how we collect, use, disclose and protect it, and how you can request access or correction or make a privacy complaint.

We intend to manage personal information in accordance with the Privacy Act 1988 (Cth), including the Australian Privacy Principles, where they apply to us. This policy also explains our approach to website analytics, customer relationship management, uploaded files and direct marketing.

2. Personal Information We Collect

The personal information we collect depends on how you interact with us and the electrical services you enquire about or receive. It can include:

identity and contact details, including your first and last name, telephone number, email address and business details;

property and service-location information, including your suburb, postcode, site address and access details;

enquiry and job information, including the service required, preferred day or date, job description, quotation details and communications with us;

photographs, documents and other files you upload or provide, which can contain images of your property, equipment, electrical infrastructure, identifying details or metadata;

transaction and account information, including quotes, invoices, payment status and service history, but not complete payment-card details where payment is processed by a third-party provider;

marketing preferences, subscription details and records of consent, opt-outs or engagement with marketing communications;

website and technical information, including IP address, browser and device type, operating system, referring pages, pages viewed, approximate location, timestamps, cookie identifiers and interactions with the website; and

any other information you choose to provide by telephone, email, online form, social media, in person or through another communication channel.

We generally do not seek sensitive information. Please avoid providing sensitive information unless it is reasonably necessary for us to deal with your request or we have asked for it and the collection is permitted by law.

3. How We Collect Personal Information

We usually collect personal information directly from you when you submit a quote or contact form, upload a photo or document, subscribe for updates, call or email us, communicate through social media, request or accept a quote, engage us to perform work, or otherwise deal with our team.

We can also collect information from a property owner, tenant, strata manager, builder, contractor, supplier, referral partner, employer or another person involved in arranging or completing electrical work. When someone provides information about another individual, they should have authority to do so and make that individual aware of this policy where appropriate.

Website information can be collected automatically through cookies, server logs, analytics technologies, security tools and similar technologies when you use our website.

4. Why We Collect, Hold, Use and Disclose Information

We collect, hold, use and disclose personal information where reasonably necessary for our business activities, including to:

respond to enquiries, assess requested work and provide quotes or recommendations;

schedule, deliver, document and follow up electrical services;

communicate about appointments, access, changes, safety matters, invoices and completed work;

maintain customer, supplier, contractor, warranty, compliance and service records;

process payments, recover amounts owing and manage our accounts;

review uploaded photographs and documents to understand a property, site, fault, installation or project requirement;

operate, secure, maintain and improve our website, forms, services and customer experience;

measure website traffic, enquiry sources, advertising and marketing performance;

send service information, electrical tips, updates or promotional communications where permitted;

prevent fraud, spam, misuse, security incidents and unlawful activity;

manage complaints, disputes, insurance matters and legal claims; and

comply with electrical, taxation, corporate, safety, recordkeeping and other legal obligations.

If you do not provide information we reasonably require, we can be unable to assess your enquiry, prepare an accurate quote, arrange access, perform the requested work or meet our legal obligations.

5. Website Forms and Uploaded Files

Our website quote form currently requests a name, phone number, email address, suburb or postcode, service required, preferred timing, job description and optional photo uploads. Uploaded material is used to assess the enquiry, identify relevant site conditions and determine an appropriate next step.

Please upload only files relevant to your enquiry. Before uploading, consider removing unnecessary images of people, vehicle registration plates, documents, access codes or other personal details. File uploads can be stored with the form entry, sent through business email or transferred into our CRM, job-management or cloud-storage systems, depending on how the enquiry is handled.

Our forms use automated security and anti-spam services, including hCaptcha. Those services can collect device, browser, IP address and interaction information to determine whether a submission is legitimate and are governed by their own privacy terms.

6. CRM, Job-management and Business Systems

We can enter or transfer personal information into customer relationship management, job-management, quoting, invoicing, accounting, email, cloud-storage and communications systems. These systems help us keep enquiry and service records together, coordinate work, maintain a communication history, issue documents and manage follow-up activities.

Access is limited to people who reasonably need the information for their role, including authorised employees, contractors and service providers. Some providers can store or process information using infrastructure located outside Australia, as explained below.

7. Cookies and Analytics

Our website can use cookies, pixels, tags, local storage, server logs and analytics tools to operate correctly, remember preferences, understand how visitors use the site, measure enquiries and campaign performance, improve content and protect forms from misuse.

Analytics and advertising providers can receive technical and usage information such as cookie identifiers, IP address, device and browser details, approximate location, pages visited, referral source and actions taken on the site. Depending on the tools configured, this information can be combined with information already held by the provider under its own privacy policy.

You can restrict or delete cookies through your browser settings and use available provider opt-out controls. Blocking some technologies can affect website functionality or the accuracy of saved preferences.

8. Direct Marketing

If you subscribe for updates, request information or otherwise consent, we can use your contact details to send electrical safety information, service updates, special offers and other marketing communications. We can also send direct marketing where otherwise permitted by applicable law.

You can opt out at any time by using an unsubscribe facility in the message or contacting us. We will process an opt-out request within the period required by law. We can retain a limited suppression record so that we do not send further marketing to an address or number that has opted out. Service, safety, account and transactional communications are not marketing and can continue where reasonably required.

9. When We Disclose Personal Information

We can disclose personal information to third parties where reasonably necessary for the purposes described in this policy, including:

employees, authorised contractors, subcontractors and other people supporting the requested work;

CRM, job-management, website-hosting, form, email, cloud-storage, analytics, advertising, anti-spam and IT-security providers;

accountants, insurers, payment providers, debt-recovery providers, professional advisers and other business-support providers;

suppliers, manufacturers, distributors, network operators, builders, strata managers or other project participants where relevant to the work;

government agencies, regulators, courts, tribunals, emergency services or law-enforcement bodies where required or authorised by law; and

a purchaser, adviser or participant in a proposed or completed sale, restructure or transfer of all or part of our business, subject to appropriate confidentiality arrangements.

We do not sell personal information as a standalone business activity.

10. Overseas Disclosure and Processing

Some technology and service providers we use can store, process or support personal information from locations outside Australia. The countries involved depend on the providers and hosting arrangements in use and can include the United States and other countries in which those providers or their subcontractors operate.

Before publication, Volt Hub should confirm the locations used by its website host, CRM, email-marketing, analytics, cloud-storage and business-system providers. Where required, we take reasonable steps to ensure an overseas recipient handles personal information consistently with applicable Australian privacy requirements, subject to any lawful exceptions.

11. Data Security

We take reasonable steps appropriate to our size, systems and the nature of the information to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. Measures can include access controls, authentication, software updates, anti-spam and security tools, restricted staff and contractor access, secure service providers, backups and appropriate physical safeguards.

No internet transmission or storage system is completely secure. If we identify a suspected data breach, we will investigate and respond in accordance with our legal obligations, including the Notifiable Data Breaches scheme where it applies.

12. Retention and deletion

We retain personal information for as long as reasonably necessary for the purpose for which it was collected, to maintain service, warranty, taxation, accounting, insurance and compliance records, to resolve disputes, or as otherwise required or permitted by law.

Retention periods can differ between unsuccessful enquiries, customer records, invoices, compliance documents, uploaded files, marketing records, website logs and backups. When information is no longer required, we take reasonable steps to destroy it securely or de-identify it, subject to legal, technical and recordkeeping requirements.

13. Access and Correction

You can ask for access to personal information we hold about you or request that inaccurate, out-of-date, incomplete, irrelevant or misleading information be corrected. Contact us using the details below and provide enough information for us to identify you and the relevant records.

We can ask you to verify your identity before processing a request. We will respond within a reasonable period and, if the law permits us to refuse access or correction, we will generally explain the reasons and available complaint options. We do not charge for making a request, although a reasonable access charge can apply where permitted by law and notified in advance.

14. Privacy Complaints

If you have a concern about how we have handled personal information, please contact us in writing using the details below and describe the issue. We will acknowledge and investigate the complaint, seek any further information reasonably required and aim to respond within 30 days.

If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner. Information about making a privacy complaint is available at www.oaic.gov.au.

15. Third-party Websites and Social Media

Our website can link to third-party websites, social media platforms or external services. Those third parties manage personal information under their own terms and privacy policies. We are not responsible for their independent privacy practices.

16. Changes To This Policy

We can update this policy when our services, systems, providers or legal obligations change. The current version will be published on our website with its effective or last-updated date. We encourage you to review it periodically.
